Roles and Responsibilities
Executive Positions
The Executive Committee transacts the business of the CNSA, controls all softball games under its auspices, and manages Association affairs By-Law 3.5. No person shall hold more than one office on the Executive Committee concurrently By-Law 3.4.
President
- Term: 2 Years — Elected in Odd Years By-Law 14.2.4
- Key Responsibilities:
- Presides at all CNSA meetings with unlimited authority on questions of order By-Law 5.1.
- Acts as an ex-officio member of all committees By-Law 5.1.
- Holds a deliberate vote and a casting vote if required By-Law 5.1.
- Presents the Annual Report at the Annual General Meeting (AGM) and serves as a delegate to Softball NSW (SNSW) meetings By-Law 5.1.
Vice President
- Term: 2 Years — Elected in Even Years By-Law 14.2.5
- Key Responsibilities:
- Presides at meetings and assumes all presidential rights and privileges when the President is absent By-Law 6.1.
- Represents CNSA to the media regarding representative matters By-Law 6.1.
- Responsible for the circulation of, and compliance with, the CNSA Member Protection Policy By-Law 6.1.
- Chairs the Judiciary unless a conflict of interest arises By-Law 6.1.
Secretary
- Term: 2 Years — Elected in Even Years By-Law 14.2.5
- Key Responsibilities:
- Attends all meetings and handles all official correspondence of the CNSA By-Law 5.2.
- Responsible for writing, posting, and listing all official notices and business agendas By-Law 5.2.
- Collates and prepares the Annual Report for presentation at the AGM By-Law 5.2.
Treasurer
- Term: 2 Years — Elected in Odd Years (Must be at least 18 years of age)By-Law 14.2.4
- Key Responsibilities:
- Acts as the Public Officer of the CNSA and executes all legislative duties under the Incorporation Act By-Law 5.3.
- Keeps true, accurate financial records of all receipts and expenditures, and issues receipts for monies received By-Law 5.3.
- Presents financial statements at General Meetings, the AGM, and a fully Audited Financial Report in August By-Law 5.3.
- Ensures all tournament, state entry, and SNSW fees are paid in a timely manner By-Law 5.3.
Minute Secretary
- Term: 2 Years — Elected in Odd Years By-Law 14.2.4
- Key Responsibilities:
- Attends all CNSA meetings to maintain a true and accurate record of proceedings By-Law 6.2.
- Prepares and circulates official minutes to all stakeholders and carries out administrative tasks assigned by the Executive Committee By-Law 6.2.
Registrar
- Term: 2 Years — Elected in Even Years By-Law 14.2.5
- Key Responsibilities:
- Maintains true and accurate records of all registered members and games played within the Association By-Law 6.3.
- Responsible for coordinating and registering CNSA players and officials with SNSW by the prescribed deadlines By-Law 6.3.
Competition Manager
- Term: 2 Years — Elected in Even Years By-Law 14.2.5
- Key Responsibilities:
- Maintains true and accurate match records By-Law 6.4.
- Liaises directly with the Registrar and Treasurer to verify player eligibility and manage the timely state-level registration of representative teams and officials By-Law 6.4.
Umpires Convenor
- Term: 2 Years — Elected in Even Years (Must hold at least a Level 1 Softball Australia accreditation)By-Law 3.1.1 & 14.2.5
- Key Responsibilities:
- Serves as the head of the Umpires’ Committee and coordinates local rules and match officiating schedules By-Law 6.5.
- Promotes rules training by conducting practical pre-season clinics and manages official accreditation lists By-Law 6.5.
- Acts as the primary liaison with the NSW Director of Umpiring and designs grassroots official programs like "Blues in Training" By-Law 6.5.
Representative Liaison Officers (3 Distinct Positions)
- Term: 2 Years — Elected in Odd Years By-Law 14.2.4
- The Portfolios:
- Junior Representative Coordinator – Male By-Law 6.6
- Junior Representative Coordinator – Female By-Law 6.6
- Senior Representative Coordinator – Combined By-Law 6.6
- Key Responsibilities:
- Oversees the broader administration, data management, and clerical needs of CNSA Representative teams By-Law 6.6.
- Handles official correspondence with prospective players, selected squads, and tournament officials By-Law 6.6.
- Ensures all state entry documentation is filed accurately and matches the SNSW event calendar timelines By-Law 6.6.
Sub-Committees
Formed under the direct oversight of the Executive Committee to assist in specialised administration domains. The size of these sub-committees is regulated directly by the Executive Committee, and all participants must be registered members of CNSA By-Law 4.2.3 & 4.2.4.
Umpires’ Committee
- Structure & Requirements: Led directly by the elected Umpires’ Convenor. Members should hold a current Softball Australia Umpire theory pass whenever possible By-Law 4.2.5.
- Core Duties: Runs pre-season clinics, organises seasonal match officiating rosters, and constructs Ground Rules for Executive ratification By-Law 4.2.5.
Coaches’ Committee
- Structure & Requirements: Headed by the appointed Coaches’ Convenor and comprises qualified, interested volunteers By-Law 4.2.6.
- Core Duties: Raises baseline coaching standards, conducts practical ‘Coach the Coach’ development sessions, and encourages formal accreditations By-Law 4.2.6.
Grounds Committee
- Structure & Requirements: Headed by the Grounds Manager By-Law 4.2.7.
- Core Duties: Plans and carries out scheduled facility working bees to preserve and improve diamonds By-Law 4.2.7.
Winter Committee
- Structure & Requirements: Only active when a Winter Competition is run. Must include a Chairperson (who holds a casting vote), Secretary, Treasurer, Registrar, and Umpires Convenor By-Law 4.2.8.
- Core Duties: Formulates competitive brackets, generates specific seasonal draws, structures canteen rosters, and maintains regular operational updates to the Executive Committee By-Law 4.2.8.
Other Appointed Positions
These positions are designated directly by the CNSA Executive Committee to maintain field operations. While vital to management, these appointees do not hold voting seats on the Executive Committee By-Law 7.
Member Protection Information Officer (MPIO)
- Term: 12 Months — Appointed annually in July
- Requirements & Duties: Must be appropriately trained to handle Member Protection policies. Acts as an impartial first point of contact for member queries regarding harassment or child protection, promoting compliance in alignment with Sport Integrity Australia principles.
Coaches’ Convenor
- Term: 12 Months — Appointed annually in July
- Core Duties:
- Attends all General Meetings where possible and works independently to improve coaching standards across member clubs.
- Organises local coaching examinations, runs informative coaching development sessions, and maintains an up-to-date registry of certifications held across CNSA.
- Evaluates coaching candidates and independently presents formal staff findings and recommendations directly to the Executive Committee for ratification.
Scoring Convenor
- Term: 12 Months - Appointed annually in July
- Core Duties:
- Attends General Meetings where possible to champion scorekeeping development and techniques at the grassroots level.
- Coordinates scorekeeping clinics, administers official tests, and partners closely with the SNSW Scoring Convenor.
- Evaluates candidates for Representative scoring assignments and independently presents findings directly to the Executive Committee for ratification.
Grounds Manager
- Term: 12 Months - Appointed annually in July
- Core Duties:
- Leads the Grounds Committee and serves as the primary authority on playing field safety, layout markings, and facility readiness.
- Coordinates essential working bees for asset improvement and ensures sufficient diamond equipment is prepared for competition play.
- Oversees club members allocated to grounds duties on the official match draw.
Winter Competition Coordinator
- Term: Seasonal - Activated only in years where a Winter Competition is scheduled
- Core Duties:
- Manages seasonal match logistics, creates winter competition draws, handles ground allocations, and schedules club canteen rosters.
- Drafts local winter ground rules for Executive Committee approval and liaises directly with the central CNSA Executive framework to process registrations and fees.
Inclusion & Diversity Officer
- Term: 12 Months - Appointed annually in July
- Core Duties:
- Attends General Meetings where possible to report on community engagement and diversity initiatives.
- Formulates accessible programming, modifications, and clinics tailored for individuals with physical disabilities and neurodivergent spectrums (such as ADHD and autism).
- Fosters community pathways to support First Nations participants and oversees the respectful use of the association's indigenous artwork assets.
- Works alongside the MPIO to ensure club environments align closely with Sport Integrity Australia principles.
Historian
- Term: 12 Months - Appointed annually in July
- Core Duties:
- Collects, catalogs, and archives the competitive achievements, executive history, and milestones of the CNSA.
- Actively digitises existing physical records, documents, photographs, and tournament programmes to construct a secure digital archive.
- Maintains contemporary record-keeping up to the present day and verifies service records for Life Membership nominations.
Marketing & Social Media Officer/s
- Term: 12 Months - Appointed annually in July (May be held individually or shared)
- Core Duties:
- Manages the association's official social media channels, website updates, public profile, and promotional outreach.
- Coordinates digital promotion for club registrations, representative player milestones, and special events in collaboration with other operational officers.
- Ensures all external digital communications strictly mirror the brand guidelines and professional standards of the CNSA and Sport Integrity Australia.
